E-INVOICING
Receive, check and pay e-invoices – with AI
Since 2025, every business in Germany has had to be able to receive e-invoices. DENKRAUM AI takes them in through the inbox, reads the amount, due date and IBAN and takes every invoice through review and approval to payment – scans and PDF invoices included.
What the e-invoicing mandate means for small businesses
Since 1 January 2025, the rule between businesses in Germany has been: if you receive an e-invoice, you must be able to accept and process it. A PDF file sent by email is not an e-invoice – the term means structured formats such as XRechnung or ZUGFeRD.
Transitional rules apply to issuing your own e-invoices: depending on their revenue, businesses may still send other invoice formats until the end of 2026 or the end of 2027, and from 2028 the obligation applies to everyone. DENKRAUM AI takes care of the invoices you receive; you continue to issue your own e-invoices with your invoicing software.
How DENKRAUM AI processes your incoming invoices
- DENKRAUM AI reads e-invoices in XRechnung or ZUGFeRD/Factur-X format without AI – reliably and traceably.
- For scans, photographed receipts and PDF invoices, the AI reads the amount, due date and IBAN.
- Duplicate invoices are detected.
- Every invoice goes through factual review and approval – above a set amount under the four-eyes principle.
- A changed IBAN is flagged straight away; early-payment discounts are spotted and come with a reminder.
- Approved invoices go to online banking as a SEPA bulk transfer – each on its due date.
- For your tax adviser, there is the DATEV export as a booking batch.
- A bank statement matches the payments to the invoices, and the subscription radar flags price increases.
Transcript
Invoices from the inbox become cases – all the way to payment. Every invoice gets a number and goes through the stages one by one: Received, Verified, Approved and finally Paid. DENKRAUM AI reads the amount, due date and IBAN from each invoice – including e-invoices and scans – and spots early-payment discounts, with a reminder. You verify the invoice and approve it – above a set amount with the four-eyes principle. A changed IBAN is flagged to you straight away. Approved invoices go to online banking as one SEPA batch transfer – each on its deadline, with the discount. For your tax adviser there’s the DATEV export. And a bank statement matches the payments to the invoices.
How it works
- Invoices arrive in the inbox by email, upload, scan or phone photo – you connect mailboxes via IMAP, Microsoft 365, Gmail or Zoho.
- DENKRAUM AI reads the data and creates a case for every invoice.
- You check the facts and approve – above a set amount, two people do.
- Payment goes out as a SEPA bulk transfer, and your bookkeeping gets the DATEV export.
